WELFARE & SAFETY

Speak to the club welfare officer

Sebastian Coulson

If a child is in immediate danger, contact the police first: 999.

Before the session
  • Share relevant medical conditions, allergies and additional needs through the academy’s registration process.
  • Ensure your swimmer is checked in and the coach knows they have arrived.
  • Tell the academy about changes to collection arrangements.
  • Bring required medication and agree its availability with the academy.

Independent arrival requires the academy’s agreement and parent/guardian consent.

Changing rooms

Parents and guardians may assist their own children when necessary in the venue’s designated family or permitted changing facilities. Follow venue access restrictions and respect other swimmers’ privacy.

Photography and filming are prohibited in changing areas and toilets. Coaches do not routinely assist with changing. If exceptional assistance is needed, agree arrangements with the parent and club welfare officer in advance.

Ensure your child is changed and checked in, and personally hand them over to the coach. Tell the academy in advance about changes to collection; notify the coach if your child arrives late or needs to leave early.

Missed sessions

Eligible leisure members may receive up to two approved replacement lessons per term, provided programme fees are paid in full. Member-absence replacement lessons are not available for competitive squads. Give at least 24 hours’ notice, except for sudden illness or emergencies, which should be reported as soon as possible.

Replacement lessons are subject to approval and available space. Contact the academy to arrange a lesson within the following regular term; winter and summer programmes are excluded, and unused replacements cannot carry beyond that term. Replacements are non-transferable and are not deductions from next term’s fees. Club cancellations do not count towards the two member-absence replacements.
